Why add team members?
If you have partners, office staff, or multiple managers running your operation, you can invite them to your Croux business account. Each teammate signs in with their own login, and you control what they can see and do by assigning them a role.
How to add a team member
Team members are managed from the web dashboard at app.croux.co.
- Sign in and go to Settings in the left sidebar
- Select the Manage Team tab
- Click Invite team member
- Fill in their First Name, Last Name, Email and Job title. Phone number is optional
- Under Select a permission role, pick their role (see below)
- Click Send Invite
They receive an email with a link to join your team. They must join through that original invitation link. Having a matching email address is not enough on its own.
Prefer to describe the person in chat? Click Invite with Concierge instead. Concierge confirms the details with you before it sends anything.
Choosing a role
Each team member gets one role. Choose based on how much access they need.
Administrator
Full access to everything in the business account. Use this for co-owners, partners, or anyone who needs to manage billing and team membership.
Administrators can:
- Post & manage shifts
- Hire for shifts
- Chat with talent
- View reports
- Manage billing
- Manage users (add, edit, remove team members)
Manager
Operational access without billing or team controls. Use this for shift managers, schedulers, or anyone handling day-to-day hiring who should not see financial details.
Managers can:
- Post & manage shifts
- Hire for shifts
- Chat with talent
- View reports
Managers cannot access billing or add other team members.
Accountant
Billing access without shift controls. Accountants can manage billing and view reports. They cannot use the mobile app.
Captain
For on-site leads. Captains can:
- View shift details
- Chat with talent
- Approve, edit and reject timesheets
- Rate talent
Captains never see pay rates. See What Is the Captains Feature?
Managing existing team members
From the Manage Team tab, you can:
- Resend invite — if someone has not received or accepted their invitation
- Edit — opens their details already filled in, so you can change their role or details and click Save Changes. Their email address cannot be changed
- Remove — revoke access when someone leaves your team
Managing your own notifications
In Settings, the Notifications tab controls how Croux tells you about late cancellations, removals, no-shows, messages and other account alerts. Turn Push, Text message and Email on or off. Push notifications need the Croux mobile app.
These settings are personal to your login. Each team member sets their own, and saving yours does not change anyone else's. They are separate from marketing emails.
If an invite never arrives
An invite stays in Invite sent until the person opens the email and joins. If they say they never received it:
- Ask them to check their spam or junk folder, and any quarantine their company mail system uses
- Use Resend invite next to their name on the Manage Team tab
- If more than one person at your organisation is not receiving invites, the emails are most likely being filtered before they arrive. Ask your IT contact to allow mail from Croux, then resend
Double-check the email address on the invite too — an invite sent to a mistyped address will sit as Invite sent indefinitely.
Chat access
Everyone whose role includes Chat with talent shares your business's chat inbox. Removing a team member also removes their access to it. See How to Message Talent Without a Shift.
Captains on the mobile app
If you want an on-site lead to approve timesheets and rate talent from the mobile app, see What Is the Captains Feature?
